AMS of the Lost - 7 signs that your AMS may be a dinosaur

Do you ever feel like you are trapped in a time warp with some of the technology used in your association?  If so, it is very possible that your Association Management System (AMS) is a Dinosaur.

Merriam-Webster definition of a dinosaur
A person or thing that is outdated or has become obsolete 
because of failure to adapt to changing circumstances.”

Having worked in association technology for over 20 years I am a bit of a dinosaur in my own right. Here are my top 7 warning signs that your AMS may be a dinosaur:

  1. You need to install something on the ‘desktop’ (perhaps even by going machine to machine to do that).  In this post-mesozoic era your AMS really should be in the cloud.

  2. It requires that you use Internet Explorer.  Hard to believe but there are still systems that force the user to slow down and fire up one dinosaur to use another dinosaur.

  3. You dread the upgrade process and you know there will be problems, downtime and angst.  It is going to keep you up at night just worrying about it.

  4. The upgrade process hurts your organization’s pocketbook - each upgrade costs your organization cold hard cash and there are intangible costs as well such as lost productivity and lost confidence in the system.

  5. You find yourself having to repeatedly defend the AMS from the users who dislike it so much they often use the “H” word (hate) when discussing it.  Or even worse; one IT manager at an association that just moved from a dinosaur AMS noted “My users hated ME”.  

  6. You have to contact the AMS manufacturer to create or customize reports (and they in turn charge you for the work) because there is no inherent functionality to do that in the system.

  7. And... from my Apple Fan Boy side:  it does not work on a Mac.

If your AMS exhibits any of the above (and especially if it exhibits more than one) you may need to dismount that dead horse and evolve into something more Nimble!

Making Data POP!

You can say many things about about your data.  Your data is very valuable.  You get great statistics from your data.  You try very hard to keep your data up to date.  The reports and lists you run on your data help keep your association running.  But can you say that your association's data is sexy?  You probably never heard data and sexy in the same sentence.  The concept may even make you fall out of your chair laughing.  

Nimble AMS wants to change that.  We want to revolutionize how you and your staff view your association's most valuable resource … your data.

Old style association management systems (AMS) display loads and loads of text based data.  From the AMS application to the various reports the staff use, it is just a lot of text to read.  It is all great information but there is no flash.  No pop!  Old style AMS' don't display your data in a sexy way.  To be truthful, they just don't make it easy to see the important and critical information.

Pow! Kaboom! Bam! Salesforce makes you a superhero!

It may sound strange, but there are days that I feel like a superhero because of Salesforce.  POW!  KABOOM!  BAM!  I think everyone would like an AMS (association management system) that made them feel like Batman or Wonder Woman.

Nimble AMS fueled by Salesforce gives you that BANG!  These KAPOW features can be huge in scale like the game changing Chatter (if you have not heard of Chatter, check it out now ... it will make your cape go aflutter).  Or they can be small things that still deliver the BOOM.  Here are a few simple features in Salesforce that I recently showed an association that deliver some ZOINK.  These features can change a normal staff person into an association staff superhero.

  • Inline Editing - This tool allows users to quickly change field values on a record or records, saving the user from having to access the record's edit page.  Using a list view, a user can see a wider variety of account data and update specific fields on the fly.  These updates can be for a single record or by selecting multiple records, they can mass update an entire group of records at once.  Please click here for more details on inline editing in Salesforce.

  • Report Scheduling - For me, this is one of the coolest tools on my utility belt.  Every user that has access to reports also has the ability to schedule their own report jobs.  You know the drill … Your boss asks you to pull this report and email it to the team every week.  That report is your kryptonite.  With a tool like this, you build the report once and have it scheduled to automatically be delivered to you, your boss, and the entire team.  Can you image the staff utilization gains by this superpower?  Please click here for more details on scheduling reports in Salesforce.

  • Account Merging - I was recently at an association in Washington DC where one of the biggest issues the staff mentioned was managing duplicate account records.  With their current system (a non cloud based AMS), it is difficult and cumbersome to merge duplicate account records.  The merge tool they have is a difficult to use add-on module.  Not really the best thing to empower the staff to clean up duplicates themselves.  With Salesforce, the empowerment superpower is fully enabled.  Salesforce is delivered out of the box with a simple merge account wizard that lets staff merge accounts immediately when they are identified.  Please click here for more details on merging accounts in Salesforce.
